A Broad Range of Products
This important Australian business group, established in 1937 and based in Sydney, has a long history of renting and leasing electrical appliances on a national scale. Today, the group has more than 90 offices and offers a wide range of products and services to Australian consumers.
Throughout its history, the retail financier has expanded its financial services with different delegations that provide rental and leasing services for a full range of products (computers, kitchen appliances, furniture, fitness equipment, etc.). Some years ago, the group even started a new and successful line of business: its consumer cash loans.
Document Generation Needs
One of the main technological requirements of the group consisted of being able to efficiently generate business documents, print these documents at the point of sale, send them by email, and securely archive them. Moreover, these features needed to be integrated with the company´s Microsoft Dynamics NAV software.
With regard to document archiving, the group needed to optimize its archival system on the one hand, as document scanning was completely manual, and automate the recognition of barcodes added to PDF documents on the other, ensuring correct and automatic archival.
Customized On-Site Technical Support
As DocPath´s software is modular, TheFormsAgency, one of DocPath´s main partners in the area of Oceania, was able to tailor a new platform based on DocPath software, to the specific client needs. Both platforms, old and new, coexisted for only two months. In this period, the transformation process was performed form by form, to guarantee that the new versions would correctly and securely replace the old ones.
To speed up the process and ensure that the project would be completed successfully and within deadlines, DocPath sent two of its technicians to Sydney, for a period of 6 months. This enabled the group to rapidly implement and develop the document project and receive specific training on site.
Generating Business Documents
The DocPath software solutions used for the process are DocPath Business Suite Pro and DocPath Aspen, in combination with other DocPath software modules, such as DocPath Mail & Fax Service, for email and fax delivery, and the DocPath High Performance Connector tool, for integration with the company´s legacy applications. DocPath Business Suite Pro allows the company to design professional documents and use a variety of output and distribution options (multiple printers, email and fax). DocPath Aspen is a powerful document manager that has allowed the company to archive its documents with personalized indexes and to control access to its legacy documents via specific user permissions.
To facilitate the transition to the new platform, TheFormsAgency integrated the DocPath software with the client´s OS400 system. As such, while the central OS400 system was being migrated, DocPath provided the required technological support.
As a result, the retail financier is now able to print all its business documents at any of its 90 offices and is able to manage the internal documentation of the group using the features and capabilities provided by DocPath solutions.
As DocPath offers an integration system to complement Microsoft Dynamics NAV, the group has been able to expand its print and archival functionalities. Now, the company automatically generates and stores its PDF documents and, additionally, these PDF documents can then be automatically sent via email or fax.
When it comes to document management and update, DocPath´s XF Repository tool enables version control of the company´s document templates and the corresponding design objects (images, barcodes, etc.) stored in a central repository. In other words, the group is now able to control each of its templates centrally and ensure that only the updated version is accessed.
Migration from JetForm Design
The Australian retail financier also took the opportunity to migrate from JetForm/Adobe to DocPath solutions. TheFormsAgency´s and DocPath´s vast experience in these types of technological renovations has allowed the group to smoothly migrate its old JetForm projects to an updated DocPath environment that simplifies document processes and covers the entire document cycle on different platforms, from form design, to document generation and distribution.
